Confirmation of booking
All bookings will be confirmed within 4 working days. If you do not receive confirmation of your booking from Motor Transport please contact Sarah Barnes immediately.
Cancellations
All cancellations must be made in writing to the address below. If you cancel on or before 2 June 2008 a full refund is given. If you cancel after the 2 June 2008 no refund is given, including non-attendance at the Event.
Please note it may be necessary for reasons beyond the control of the organisers to alter the venue or the date of the Event.
In the event that this function is cancelled by the Organisers, a full refund will be made of any booking fees paid. However, if the Event is postponed for reasons beyond the direct control of the Organisers, this booking will be transferred to the revised date of the Event and all these Terms and Conditions shall apply to any such transferred booking.
Cancellation of the Event
You are advised to take out appropriate travel insurance, as we will not accept any liability for travelling, accommodation or other expenses incurred as a consequence of a possible Event cancellation or postponement. In any Event, the Event Secretariat will not accept liability for any loss, including incidental or consequential damages etc.

Special requirements
A form will be included with your invitations requesting this information. Simply complete and return to the Organisers. This form must be returned at least 48 hours prior to the event, otherwise charges will apply and guests’ requirements may not be taken care of.
Lighting and special effects
It is the table booker’s responsibility to inform their guest(s) that special effects including strobe lighting maybe used on the night of the Awards.

Entering Terms and Conditions
• Explain in no more than 1,000 words why you deserve the Award.
• If entering Livery of the Year, you must supply colour images of the livery being judged along with your entry.
• If entering Partnerships, the entry form must be signed by both partners. If you win, both partners must be represented on stage to collect the award.
• You cannot enter Fleet Truck or Fleet Van of the Year. The shortlist is determined by the judges
• Any UK freight operator, logistics company or supplier may enter.
• Companies of any size may enter the Awards. The judges will take into account the scale of each operation.
• The decision of the Editor of Motor Transport is final and no reasons will be given for decisions made.
• Entries will not be returned.
• Motor Transport will send out a confirmation within four working days of receiving the entry. If you do not receive such notification, please contact: Sharon Webb on Tel 020 8652 8036 or sharon.webb@rbi.co.uk
• The shortlist will be published in a May issue of Motor Transport. The winners will be announced at The Motor Transport Awards on 2 July 2008.
• Award winners and finalists may state in advertising and promotional material their success, but must always state the year the award was made in the same type size as the statement of the award.
• Entries are treated in strict confidence. All judges sign a confidentiality agreement.
• A new entry form must be completed for each category entered. Photocopies are acceptable.
• Send three copies of your entry to Sharon Webb, Motor Transport Awards, 10th Floor, Quadrant House, The Quadrant, Sutton, Surrey, SM2 5AS. The completed forms and entries must reach Motor Transport by the deadline: Friday 28 March 2008.
